# Billing

# eBilling

View recent bills that have been sent out, payments made against bills, billing products, customers, schedules and file uploads on robust data tables.

To view the eBilling transaction history:

  1. Log into your PesaWay account (opens new window)
  2. On the Left Sidebar, click on eBilling

Change the number of records displayed on one page using the Per Page dropdown

# Bills

View billing records that have been sent out.

TIP

Filter / search bills using customer name, phone number, email, status, bill number or amount

# Payments

View payments made against bills and the details on each payment.

TIP

Filter / search schedules using customer name, payment reference, payment method name, status or amount

# Products

View billing products as defined in the system

TIP

Filter / search file uploads using name or status

# Customers

View all billed customers KYC.

TIP

Filter / search group tasks using name, email, status, address or phone number

# Schedules

View scheduled bills that are executed on the scheduled dates (Billeable).

TIP

Filter / search schedules using bill number, customer name, email, phone number or status

# Uploads

View and download the Bills and Bill Payments bulk upload files.

# Define Billing Product

DANGER

This process is only available to the Manager.

# Add Billing Products

  1. Log into your PesaWay account (opens new window)
  2. On the Left Sidebar, click on eBilling
  3. On the drop down menu, click on Products
  4. Click on the Register button top right
  5. Populate the fields are required

    TIP

    If the product you are defining is measured in units e.g. Water or Electricity and you need to indicate to the customer the meter reading, make sure you check the Metered field

  6. Click on Submit 🎉

Billing Product

TIP

If a product is no longer needed, you can Disable it on the Disable button on the Actions column.

# Send Bill

For simplicity, sending bills has been centralized to one page whether sending to a single or multiple customers in an excel file.

DANGER

This process is only available to the Web User and Manager roles.

To send a bill:

  1. Log into your PesaWay account (opens new window)
  2. On the Left Sidebar, click on eBilling
  3. On the drop down menu, click on Bills
  4. Click on Create button located top right

Send Bill

DANGER

Bill file uploads only allow one item per bill

# Send a Single Bill

  1. While on eBilling > Bills > Create page, click on Register options field
  2. Select Individual
  3. If the customer is already in the system, search their details using the Search Customer field. Type in the customer name to search
  4. If the target customer is NOT in the system, check the New Customer checkbox and fill in their details as required
  5. Fill in the Bill Due Date and Notification Channel fields
  6. Populate the Bill Items by selecting a Product and populating the Meter Reading, Price, Quantity and Tax fields

    TIP

    1. Ignore the Meter Reading field if the product item does not involve consumption of product units based on a meter device e.g. Water or Electricity
    2. Click on the Add Line button below the last added item, to add a new item and the X button at the end of an item to remove it
    3. Sub Total, Tax Amount and Grand Total are automatically calculated
  7. Verify that all items have been defined well
  8. Click on Register to Submit 🎉

# Bill Customers in Bulk

  1. While on eBilling > Bills > Create page, click on Register options field
  2. Select Simple Invoice Bulk Upload
  3. Click on Download Template. You should get a popup to save the template.

    TIP

    If you don't get a popup to save the file, please check your Downloads for the file. If no file was downloaded, check if your browser blocked popups from the site.

  4. Open the saved file and populate the contents, following the example given. Ensure the phone number starts with '254
  5. Save the changes
  6. Upload the file either by dragging and dropping it on the Upload File section OR by clicking on the section to select the file.
  7. Click on Register to Submit 🎉

TIP

Once the Billing Action has been submited, it is automatically processed and communication is sent to the customer

# Post Bill Payment

This process is only available to the Manager.

# Post Payment on a Single Bill

  1. Log into your PesaWay account (opens new window)
  2. On the Left Sidebar, click on eBilling
  3. On the drop down menu, click on Bills
  4. Locate the Bill you want to post payment against. You can use the Search field to narrow down.

    TIP

    Filter / search bills using customer name, phone number, email, status, bill number or amount

  5. On the Actions click on Post Payment Icon
  6. Fill in Payment Method, Receipt and Amount fields
  7. Click on Post to Submit 🎉

Pay Bill

TIP

Once the payment has been posted, communication will be sent to the customer with a link where they can download the receipt.

# Post Payments in Bulk

  1. While on eBilling > Payment page, click on Bulk Payments button on the top right
  2. Populate the Title

    TIP

    Make the Title a description of the Bulk Payments you are posting 😉

  3. Click on Download Template. You should get a popup to save the template.

    TIP
